I'm responsible for organizing a potluck at work. What's the best way to do a sign up sheet for this?!


Question: Should I have specific categories for people to sign up for? Should I offer suggestions for specific items to bring?

The potluck will be the wednesday before thanksgiving if that helps any.

I was thinking that the sign up sheet would be posted in the company break room and there's only about 30 of us, so any advice would be appreciated.

Send out a company wide email saying what your going to do ....

create a sheet on the computer with two columns, one column being name the other column being item(s)

post it in a public place that everyone accesses (ie kitchen or some other place EVERYONE goes to)

Posting it sounds like a good idea. We pass it around from cubicle to cubicle and have everyone check their name off of it, but it inevitably gets stuck in someone's office for a number of days and they don't realize they have it.

Two columns: Left side: name, right side: Item I'm bringing. That way everyone will see and get a feel of what & what not to bring. Hopefully those guys at your office won't all bring chips.

Post it in the kitchen on the office fridge with a pen.

Send an email message (if you have email) that you will be having a sign-up sheet passed around to everybody for the potluck. Ask folks to please sign name, item that they will bring and to confirm their attendance. You can actually have a list of items if you want to have a little more control over what should be brought to the potluck.

Yeah I would hang it in the break room and put something like:

Vegetables:
1.
2.
3.
4.

Desserts:
1.
2.
3.
4.

and so on so the people know if the desserts section is full they'll have to bring a drink or cups or whatever.

The most efficient way is to be the Potluck Dictator. Assign (in a pleasant and polite manner, of course) each participant a particular kind of dish to bring. It's less stress for you and it takes the guesswork out of it for them. Plus you don't end up with 14 different kinds of macaroni salad and not much else.

Allowing maximum flexibility is usually the most fun, as long as people can see what is already on the list when they go to sign in their dish.

Send an email to go sign up on the list. List can include:

Name: | Meat | Starch | Veggie | Dessert | Other

Person should write what they are bringing in the appropriate column. In my experience, as people sign up, they look at what is already there and decide what to bring based on what is needed.

If the list gets very lopsided (not likely), then send out another email asking for volunteers to switch from the overloaded category to the "needed" category.

I would make a list of recommended items that you would like to see at the potluck. (this way everyone doesn't bring in bread or desserts.) and when a item is taken, they can cross it off the list. good luck.
